The Chamber Music Society of Lincoln Center (CMS) invites applications for the role of Artistic Administrative Manager, a pivotal position at the world’s premier chamber music institution. The Artistic Administrative Manager (AAM) is as an integral member of the CMS Department of Artistic Planning and Production. This position oversees key components of CMS operations, including the music library, artist contracts and payroll, artist visas, NYC hotels, and licensing, among others. This position also works as part of the team that produces all CMS New York-based concert series, including concert duty, rehearsal schedules, and stage management. Furthermore, the AAM is fully engaged in the budget process, working closely with the Director of Artistic Planning, Production and Administration (DAPPA) to whom this position reports. Lastly, this position collaborates with DAPPA on details related to commissioning and the new music series. The AAM interacts regularly with the Associate Director, Production and Venue Relations; Artistic Planning & Special Projects Manager; Editorial Manager; Director of Touring and Artistic Planning; and Assistant Director of Touring.
Responsibilities:
Artist Contracts / Servicing / Payrolls
Communicate with artist managers and/or artists regarding contract details to verify engagements for the upcoming season
Create, disseminate, track, collect and follow up on all artist contracts; collaborate with Touring and Education staff on joint contracts
Submit artist payrolls for NY Production including concert fees, expense reimbursements, and broadcast fees, and track any payroll variances
Communicate US tax withholding requirements for all foreign artists with artists and artist managers; track this information in the budget
Revise contract, addendum, and/or agreement language with Executive Director and Director of Artistic Planning, Production and Administration
Artist communication
Prepare and manage all New York rehearsal and concert schedules under the direction of the Director of Artistic Planning, Production, and Administration, and in coordination with the Associate Director
Assist DAPPA in booking artists for Alice Tully Hall concerts, Rose Studio, New Music, and Recitals
Communicate rehearsal schedules to artists, together with NYC concert information; maintain ongoing communication with artists regarding updates and changes
In coordination with the Touring Department, communicate information regarding runouts and tour dates for NYC programs to artists and artist managers
Concert Production
Serve in a variety of production roles for all New York performances within a concert-duty rotation system as determined by the DAPPA in coordination with the Associate Director, as follows:
Alice Tully Hall: act as Production Supervisor or Production Associate for mainstage season concerts; communicate with stagehands and other Lincoln Center staff; review details with Associate Director
Rose Studio: act as Production Supervisor or Production Associate (handling staging requirements, stage moves, lighting, timing of entrances) for all programs in the Rose Studio Series, New Music Series, and Recital Series
Assist the Associate Director on all production needs in the CMS Rose Studio and rehearsal spaces, including rehearsals, recording sessions, pre-concert talk activity, artist video interviews, etc.
Artist Visas
Oversee and administer O-1 visa process for all CMS international artists
Review artist roster each season to determine O-1 artist visa needs, including for touring; submit budget to DAPPA for review
Communicate with artist/artist managers regarding the visa process and request any needed documentation
Request and assemble any/all additional documentation in support of the visa application
Consult with CMS immigration attorney for advice and counsel for any application
Communicate with government officials/congressional staff, as needed, for assistance
Music Librarian
Rent and purchase all parts and scores
Copy, scan and distribute practice parts as needed
Obtain perusal scores for research
Enter library acquisitions into CMS music library database
Track and pay all sheet music related invoices
Create and maintain budget for music purchase and rental
Artist hotels
Negotiate competitive rates at NYC partner hotels annually
Arrange NYC hotel reservations for non-resident artists and composers, pay hotel invoices, and enter into expense records
Music Rights
Report to ASCAP and BMI quarterly, pay all ASCAP and BMI bills, budget for ASCAP and BMI payments
Acquire synchronization and mechanical licensing rights for all pieces being performed throughout the season
Budget
Draft AP Budget template for each season
Collaborate with Director of Artistic Planning, Production and Administration, Associate Director, Editorial Manager, and Director of Touring and Artistic Planning to create budget proposals; communicate all budget-related matters to the Director of Administration and finance staff
Submit budget quarterly reports along with the artistic production team
Prepare various data and statistics throughout the season for DAPPA and ED
Monitor and assess actual to AP budget data regularly and provide update to DAPPA, as needed
Regularly communicate with Touring Department to reconcile all program-related budgets between the two departments
Commissions
Coordinate contracts for CMS commissions, working closely with the Executive Director and Director of Artistic Planning, Production and Administration
Manage contract process with co-commissioners, including communication with all commissioners
Communicate with composers and/or publishers regarding scores and parts of CMS commissions, and track all payments
Work with DAPPA regularly to propose and monitor AP commission budget
Facilitate the Stoeger Prize award process biennially with the Director of Artistic Planning, Production, and Administration
New Music
Assist DAPPA in researching pieces and composers for commissions and the four New Music programs per season
Maintain and update spreadsheets related to new music (commissions, programs, possible works, etc.)
Prepare proposals regarding commissions for Co-Artistic Directors
Collaborate with Development staff on proposals related to new music
Coordinate with composers for interviews/appearances/discussions at performances
Help develop other initiatives along with EDUCE Department to continue to create opportunities for audience to understand the works of today’s composers
Qualifications:
Strong classical music knowledge with significant familiarity of the chamber music repertoire
Minimum 3 years of related experience
Great team player, pro-active, self-motivated and responsive. CMS operates collaboratively, cultivating the principles of chamber music.
Outstanding inclusive communication skills
Experience and demonstrated success in project management
Excellent budgeting skills, including strong working knowledge of Excel
Familiarity with ArtsVision or similar performing arts scheduling software
Strong problem-solving ability
High level of energy, enthusiasm and productivity
Availability to work evening and weekends, as needed
Compensation and Benefits:
This is a full-time position, working from the CMS offices on the Lincoln Center campus, with a salary range of $67,000-72,000.
