Fred Hutchinson Cancer Center is an independent, nonprofit organization providing adult cancer treatment and groundbreaking research focused on cancer and infectious diseases. Based in Seattle, Fred Hutch is the only National Cancer Institute-designated cancer center in Washington.

The Project Coordinator II, OGC & Board Administration holds a dual function role, supporting the Office of the General Counsel, and also the Fred Hutch Board of Directors and the Fred Hutch Board of Advisors. This role acts as support and back up to both the Program Administrator, OGC, and the Administrative Director, Fred Hutch Boards. The administrative activities performed will support well-functioning daily operations of the Office of the General Counsel and Board meetings and events throughout the year.
Responsibilities
Office of the General Counsel - Office & Project Administration (50%)
Routine Budgetary Work: Responsible for ProCard reconciliation of department ProCards, liaise between General Counsels and Accounts Payable for payment of legal fees, maintenance of internal tracker on department spend.Faculty Forgivable Mortgage Loan Program: Sole manager of the faculty forgivable mortgage loan program, coordinates between Finance and outside counsel to complete all necessary steps.Calendar Support: Provide executive and calendaring support to the Deputy General Counsel, Business & Research plus other department attorneys as necessary.Special Projects: Perform special projects for the department as needed. Examples include website maintenance, planning of department luncheons, filing & supplies ordering. Perform special projects for attorneys, examples include tracking of regulatory responsibilities, gathering trademark specimens, project manager of labor union contract negotiations, etc. Support to the Program Administrator: Daily communication with the Program Administrator, back-up for administrative needs of the office, calendaring, and department inbox alternate.
Board Administration - Scheduling & Event Management (50%)
Scheduling: Schedule Board and committee meetings, dinners, and other events for both the Board of Directors and Board of Advisors. Coordinate with Administrative Director to draft/distribute communications for Board-related meetings. Track participation and headcount for all meetings.Meeting & Event Planning & Staffing: Support Program Administrator and Board Administrative Director in planning and execution of all in-person and hybrid-equipped meeting logistics. This includes room reservation and layout, audiovisual, catering, parking, support staff assignments, travel reimbursement requests, virtual meeting links, etc. Management of logistics day of meetings. Examples include pinning Zoom participants, managing waiting rooms, screen sharing presentations, adjustment/use of mics and volume, use of presentation clicker, etc. Research and secure dinner venues for quarterly Board dinners and other events such as Board retreats.Special Projects: Perform special projects for board relations as needed. Examples include procuring Fred Hutch badges for new board members, maintaining a bio repository for board members and executives, purchasing branded swag for board members upon request, and maintaining an internal board roster. Support to the Administrative Director: Regular communication with the Administrative Director, back-up for all administrative needs of the Board. Manage Fred Hutch Board shared inbox. Qualifications
Minimum Qualifications:
- Bachelor's degree or equivalent experience
- 5+ years of progressively complex administrative work including scheduling, maintenance of filing systems, fiscal and budgeting experience, etc.
- Previous experience with event planning preferred
- Previous project management experience in a research, academic, or clinical setting
- Ability to manage time-sensitive projects and confidential information in a fast-paced environment
- Excellent oral, written, and interpersonal communication skills, high level of attention to detail and organization, strength in self-initiative
- Positive attitude and outlook, strong representative of FHCC and leadership team
- High level knowledge of Microsoft applications - Outlook, Teams, Word, Excel, PowerPoint, and SharePoint
- Licensed as Notary Public or ability to become a Notary Public within one year
- Ability to attend and staff occasional after hours meetings and events

The annual base salary range for this position is from $67,445 to $101,167 and pay offered will be based on experience and qualifications.
