Schermerhorn & Co. is looking for a new member of our property management team. Celebrating our 55th year in Evanston, we continue to grow and serve the property owners and Community Associations in Northern Chicagoland.
We are a second-generation family business who focus on service to our clients, our customers, our staff, and the vendors and contractors we work with. Our portfolio includes multi-family apartment buildings, residential community associations, office buildings, and shopping centers. We have a robust administrative team and the technology to provide the support our property management team deserves. We are looking for individuals that are willing to work hard, like to be a part of a team, and are self-motivated.
· Experience: Experience in the property management field is a definite plus. Must have, or be willing to get within 3 months of hiring, a Community Association Manager License. Broker or Leasing Agent License also a plus.
· Skills: basic understanding of how buildings function, strong verbal and written communication abilities, working knowledge of MS Word, Excel, and Outlook, professional disposition, the ability to multi-task and be flexible.
· Duties & Responsibilities:
o Oversee the management of a portfolio of community associations. Portfolio will include 8 – 12 properties and approximately 200-250 units
o Work with maintenance staff and contractors to make sure the regular maintenance duties are being performed as prescribed.
o Inspect the properties on a regular basis to assess conditions and work being performed, as well as to identify problems and needs for capital maintenance and improvements.
o Identify and bid all long-term maintenance and capital improvement projects, review bids with client, and the supervise the work to be performed. Responsibility includes assessing work to make sure it is being done per the specifications set before approving progress and/or final payments. Make sure all contractors hired provide proper certificates of insurance and waivers of lien for each project.
o Work with the association Boards of Directors to carry out the directives of the Board. Attend Board Meetings as necessary.
o Interact with current residents to handle issues as they come up. Follow up as appropriate to inspect the issue, assign tasks to maintenance staff or vendors to resolve the matter, and keep in contact with the resident to make sure the matter is resolved in a timely manner.
o Review and monitor resident accounts to make sure all assessments are being paid as agreed under the terms of the condominium documents, follow up with any residents who are behind in their payments, and work with appropriate attorneys if in-house collection efforts do not produce the appropriate response.
o Review all invoices for each property to make sure they are correct and appropriate for the service that has been rendered, review all utility bills and make sure they are paid in a timely manner, so they do not incur late fees.
o Prepare budgets and monitor the financial activities of each property throughout the year to make sure they are operating within the limits of the budget. Review monthly financial reports before they are sent out to clients.
o Monitor all vendor contracts as well as insurance for each property to make sure all contracts are in force as appropriate, and all insurance coverage is in place as required. Bid out the insurance coverages each year to make sure the property is getting the best value for the insurance they are maintaining.
Compensation: Compensation is a combination of salary and commissions. Salary shall be in the range of $55,000.00 to $70,000.00 per year. Commissions are available for bringing in new accounts, leasing assignments for properties that are not covered by our management agreement (leasing agent license required), and/or sales of real estate (broker’s license required)
