Provide diversified professional administrative support for the teams in the Office of the General Counsel (knowledge of Employment, Labor, Business, Immigration, Intellectual Property strongly preferred). Management of calendars, background materials and travel arrangements as needed for meetings and events for various attorneys. Provide administrative support for committees; prepare agendas, meeting notes, PowerPoint presentations, spreadsheets and reports. Organize and initiate appropriate follow-up and minutes.
Bachelor's degree and 3-5 years of administrative experience required. Must be detail-oriented, able to perform a variety of tasks, able to work with confidential information and prioritize tasks and demands in a fast-paced environment. Must be able to work and make decisions independently, to exercise discretion and good judgment in areas of responsibility. Must be able to communicate professionally and effectively with people at all levels of the organization as well as with external constituents. Must have experience and good computer skills and be proficient with Microsoft Office applications - Word, Excel, PowerPoint, etc. Must have the ability and skills to fill in as needed in the absence of the Executive Assistant to the General Counsel.
Roles and Responsibilities
Administrative Support: Ensure smooth operations of the Office of the General Counsel: Assist with making OGC team members' travel arrangements, prepare itinerary and event information. Conduct necessary research to prepare team members for events or meetings. Process and track travel/expense vouchers; maintain files; screen calls; schedule and arrange meetings and events; coordinate mailings. Write correspondence and create accurate and attractive PowerPoint presentations for the team members' presentations. Provide front desk coverage and other duties as needed. Share supervision of work-study students. (35%)
Coordinate meetings and materials for committees, senior level search committees/working groups as assigned. Provide support by attending team meetings/retreats and document the following: meeting notes, attendance list, and work project assignments. Develop and monitor a tracking system of meeting/event deliverables as they relate to particular unit projects. Provide updates regarding meeting deliverables and task assignments. Create and maintain a tickler system to be implemented for project updates and deliverables required of individuals/ academic team. (25%)
Manage Calendars: Use judgment and diplomacy to schedule and prioritize meetings and appointments for the Office of the General Counsel (OGC) team members. Requires the ability to discern variations, anomalies and communicate effectively with the OGC team. Ensure that meetings are set up accurately and promptly and related issues handled in a timely fashion. Follow up with meeting attendees as required. Assist OGC team members by soliciting and providing necessary back-up and research materials in a timely way to ensure OGC team members are well-prepared for meetings, events and speaking engagements.(40%)
