GENERAL PURPOSE
The Registrar's Office provides quality services and support to faculty, students, administrators, alumni and external community through timely and accurate handling of enrollment activities and records according to academic policies, professional standards and governmental regulations, consistent with Molloy’s educational mission and strategic goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Manage office supplies. Inventory and order supplies.
Mange office budget, purchase orders, invoices, payment and issues
Assist Registrar and Associate Registrars with correspondence
Daily student records services via in-person, phone and emails, including registrations, withdrawals, questions
Handle Academic Scheduling Course Changes, notifications to students for changes and cancellations
Assist, advise and counsel students, faculty, advisors and campus administrators with questions about academic records
Assistance for students, advisors and faculty using Lion’s Den portal
Record student changes to name, address or biographical data
Use Internet Processing software for input of Personal Info and Emergency Contact Information
Create advisor accounts for new advisors
Enrollment verifications
Degree verification issues in the NSC software
Support for students, advisors and faculty using degree audit in Lion’s Den
Use software for electronic records for scanning, saving and retrieving records. Aid in yearly shredding of older records
Transcript request processing and maintenance of records; Handle transcript deposits for checks to Bursar.
Not Attending Reporting – Update records for students and notifications to Bursar and Financial Aid.
Assist in projects related to data validation and legacy records
National Student Clearinghouse data maintenance, as assigned
Assist with proof-reading and editing for catalog and publications
following notification to students and with clearance of the Molloy attorney
Verify professional certifications (licensing, boards and certifications): Maintain copies
Understand the college catalog particularly academic policy and degree requirements; assist with proofing as assigned
2. Outstanding customer services to students, faculty, administrators and the public for all office services. Guide, assist, advise and counsel on academic policies in the catalogs, student handbooks, the web and other media. Follow governmental regulations and laws for student privacy and rights for FERPA, Title IX, American Disabilities Act and Rehabilitation Acts, Solomon Act, NY State and any others that apply. Support the mission and goals of Molloy College in performance of job. This position will change or expand as the software and new technologies emerge. Special projects or new responsibilities may be assigned. Job training and skills development as needed through opportunities in HR and off-campus.
