Job Description Summary:
Cold Spring Harbor Laboratory is currently seeking an experienced Executive Assistant to the Chief Operating Officer and General Counsel.
Duties and Responsibilities:
- Serve as key liaison and first administrative point of contact with the Board of Trustees, including Board Chair; interface directly with the Laboratory's Trustees (35-40), Honorary Trustees and members of their staff.
- Coordinate all communications between the Laboratory and the Board of Trustees; plan, schedule, and coordinate Board meetings and Board Committee meetings; prepare meeting agendas, presentation materials and Board Books; address Audio/Visual and technical meeting requirements; arrange facilities and catering.
- Provide extensive, detailed administrative support to the COO and General Counsel, including planning and management of calendar, activities and travel.
- Handle special projects as they arise.
- Respond to inquiries and issues in the absence of the COO or General Counsel; redirect inquiries to correct person within Laboratory management.
- Occasional weekend and after-hours required.
Essential Duties Summary:
EDUCATION: Associate degree required, Bachelor's degree preferred
EXPERIENCE/SKILLS: Candidate should demonstrate poise, maturity and professionalism. Familiarity with an academic, not for profit or public sector environment preferred. 7-10 years' administrative experience at the executive level is preferred. Advanced knowledge of MS Office Suite, including Excel, PowerPoint, Word and Outlook. Strong organizational, time management, prioritization and problem-solving skills as well as the ability to multi-task and work effectively under pressure. Excellent interpersonal, oral and written communication skills. The ability to exercise independent judgment and discretion in dealing with highly sensitive, confidential and attorney-client privileged information is required. Ability to work independently with minimal guidance.
