Job Description:What We Are Looking ForThe Legal Support Specialist independently performs a wide range of legal support, administrative and business management functions and activities for the Office of General Counsel. The candidate selected for this position must have the utmost discretion and ability to preserve confidentiality in performing assigned responsibilities. This position represents the Office of General Counsel to the public as the first contact with clients, answers all in-coming telephone calls, takes messages and directs calls to the appropriate attorney/staff. Knowledge of each attorney's legal areas of responsibility is essential. Additionally, this position communicates with University departments, and external contacts on a variety of issues and serve as the information source for faculty, staff, students, and public on matters relating to litigation holds, subpoenas, practicums/internships, records retention and PIA requests.
A Bachelor's degree, two years previous experience, and an active Christian faith are required. Previous experience as a paralegal or in an administrative position in a law office, as well as previous experience in higher education, are strongly preferred. Prior experience will be considered in lieu of the educational requirement.
Applicants must be currently authorized to work in the United States on a full-time basis. The ideal candidate will possess:
- Superior organizational and logic skills and the ability to work on multiple projects in a confidential and time sensitive environment.
- Proficiency with office administration and coordination of general office business functions.
- Proficiency in coordinating meetings and conferences.
- Demonstrated excellent written and verbal communication skills.
- Excellent interpersonal skills with the ability to establish good working relationships with the office as well as within the University and other external constituents.
- Ability to effectively and professionally respond to client concerns.
What You Will Do - Monitor and evaluate special events requests as received through the on-line CONNECT program and domestic travel requests received from the Office of Compliance/Risk Management. Prepare release forms if required for the event for attorney review.
- Be able to assist offices, organizations, off-campus inquiries, etc. about practices, procedures, and policies, regarding special events and domestic travel. Generate release forms for the Center for Global Engagement for minors traveling abroad.
- A comprehensive working knowledge of Baylor policy and Office of General Counsel legal requirements is essential.
- Attention to detail necessary for proofing, billing, ordering supplies, reporting activities and preparation of expense reports.
- Process requests from Finance/Loans Collection Management Office in filing judgment liens and/or abstracts on delinquent or paid in full student loans. Requires determining which court(s) need to be petitioned, generating legal documents to be filed by courts, writing petition letters to courts and plaintiffs, determine court fees, track and monitor until final court filed document is received and file is closed. Maintain accurate records of all closed files that have been scanned and electronically stored.
- Provide comprehensive support to track and maintain outside attorney invoices in Microsoft Excel. Organize, evaluate and maintain invoices by firm and specific service provided to ensure accurate costs to be tracked for budget purposes. Information may be requested to help prepare budgets, track firms' costs, or to present reports to senior administration and/or Regents. The information requested must be accurate and readily available.
Additional duties include:
- Maintain appointment calendars to include conference rooms, plan and arrange for special events and meetings. Provide basic technical support for virtual seminars, teleconferences, audio-conferences, etc.
- Use and proficiency in a variety of business software, including Microsoft Word, Microsoft Outlook, Microsoft PowerPoint, Microsoft Excel, Box, Worldox, Total Contract Management and Ignite.
- May be responsible for special projects or operations which require planning, coordination, and supervision, and which are necessary to the work of the Office of General Counsel.
- Maintenance of law library log; update law library and distribute materials to attorneys.
- Maintain department files and provide related administrative support. Direct Mail log management and distribution of in-coming mail. Oversee organization of workrooms, file room and maintain all office supplies and order when needed.
