The Meetings and Continuing Education Administrator is a highly visible role which demands exceptional customer service, strong verbal and written communication skills, a high level of professionalism, and the willingness to take the lead on all assigned administrative tasks pertaining to conferences, webinars, continuing legal education, and annual sponsorships.  The ability to operate effectively both independently and within a team environment, possess a strong attention to detail, good organizational skills and to work on multiple projects simultaneously while managing competing deadlines are all essential qualities. 

Key Responsibilities 

Support the Meetings and Sponsorship Director in:
•    The successful execution of all educational programs
•    Administering the overall management and timely execution of the continuing legal education program
•    Overseeing annual sponsorships

 Specific Duties

•    Faculty: Manage speaker correspondence and materials (invitations, confirmations, training requirements, outlines, and PowerPoint presentations); support the review process of all program content between the program chairs and the Education and Member Services Committee using document sharing/tracking software; edit PowerPoint presentations and format outlines
•    Meetings: Support the planning of multiple programs (including in-person, virtual, on-demand and hybrid) simultaneously; assist in executing virtual meetings and webinars on Zoom 
•    Meeting Logistics: Coordinate with the Director in disseminating meeting RFPs, arranging hotel reservations, confirming AV and catering requirements; preparing signage and providing on-site support as directed
•    Continuing Legal Education: Execute continuing legal education tasks as assigned such as completing state applications, creating certificates, and reporting attorney attendance to State Bars
•    Information Technology: Ensure proper integration for all web-based software used to support the programs with NABL’s technology systems.
•    Flexibility to accept and take the lead on other administrative duties as assigned.

Requirements

•    Ability to work virtually and reside within the Chicagoland area 
•    5+ years of experience working in a nonprofit or association environment 
•    Bachelor’s Degree or equivalent combination of education, training and experience
•    Strong computer skills to include proficiency in Microsoft Office with an emphasis on PowerPoint and Excel
•    Proficiency using Zoom Meeting and Webinar platform
•    Experience working with database software; willingness to learn and use IMIS database efficiently
•    Ability to operate effectively both independently and within a team environment
•    Highly organized with the ability to manage multiple tasks simultaneously and meet deadlines
•    Excellent customer service skills; ability to respond to problems and to assist clients with a calm, courteous, and helpful manner and attitude
•    Outstanding verbal and written communication skills
•    Ability to travel to annual conferences 3x per year as well as to DC office as needed; ability to attend meetings locally as needed
