Summary: The Law Clinic Administrator provides important support for the Law School’s nationally-ranked clinical program. The Law Clinics are a law office within the Law School, staffed by student attorneys, clinical faculty, and adjunct practitioner faculty, all working with clients on a wide variety of legal issues, including: human rights and immigration, rights and liberties, economic justice, family and community, and business and nonprofits. The Law Clinic Administrator must be skilled in interacting with and serving a wide range of people, including clients, over 200 clinic law students, and thirty or more Clinic Faculty, both full-time faculty and adjunct faculty. Primary responsibilities include supervising the clinic staff, supporting faculty and students in using our IT systems, managing finances and office space, and overseeing clinic course registration. Responsibilities/Duties: Program Administration – 40% - Assist with implementation and coordination of new clinic courses;
- Communicate with students and faculty to help them succeed in managing the administrative requirements of our law office.
- Provide program assistance and coordination to the Law Clinic co-director.
- Help to identify and resolve issues that directly impact the law office environment.
- Work with designated clinic faculty to manage the office space, including access to Clinic, keys, space allocation for faculty, staff and students, and office remodeling. Also, work with Law School and University offices to implement student accommodations.
- Primary responsibility for maintaining financial administration of the Clinic and expense authorization/control, including clinic litigation bank account, lawyer trust account (IOLTA), prepare and control the budget.
- Organize and plan law clinic events.
- Ensure office supplies and equipment (phones, copier, etc.) are adequate.
- Prepare and maintain student certification lists for practice in federal and state courts.
- Oversee the referrals process for potential clients and public inquiries.
- Work with departments in the Law School on communications about and for the Clinic.
Supervising, Staffing and Hiring – 20% - Directly supervise three full-time employees and to a student worker.
- Train new employees on Clinic procedures, policies and/or case management system.
- Assign designated work assignments to staff, tasks/assignments.
- Prepare and complete annual performance appraisals.
- Understand and manage compliance with Union Contracts.
- Approve timesheets and leave.
- Work with the HR and Payroll departments to process new hires (Adjuncts, RA’s, Staff)
- Process and prepare hiring and payroll paperwork for new adjunct faculty and the approximately twenty adjuncts we rehire every year.

Curriculum and Registration – 15% - The administrator manages the enrollment of students into approximately 22 clinic courses. Courses are offered in Fall and Spring.
- Help Clinic Faculty and Adjuncts set-up their courses: class times, enrollment caps/splits, textbook needs, classroom needs, etc.
- Provide the Law School Curriculum department with current course information and assist them in setting up courses through Peoplesoft.
- Work directly with the law school Registrar during enrollment periods, including authorizing students to be enrolled into a clinic course;.
- Maintain clinic course waiting lists.
- Research and Review Clinic registration practices; includes surveying students, collecting data and tracking feedback.
- Answer or refer student questions or concerns regarding clinic registration.
Technology, Case Management Database and Server Administrator 15% - Create new clinic users accounts through the active directory, using an Admin account.
- Update access to our Case Management database (Clio) and the Clinic server as students enter and leave the clinic.
- Maintain communication with Law-Tech and Clio staff on technical issues and updates, including bi-monthly meetings with Law Tech staff.
- Find irregularities or errors, investigates solutions, and resolve promptly
- Support and communicate with users about IT changes and concerns.
- Train new users on Clio: student’s attorneys, faculty, staff, adjuncts, and interns.
- Help answer IT questions and issues as needed in a timely manner.
- Create and update the Clio manual and training materials.
- Prepare and update case lists for supervising attorneys and student directors.
- Maintain Clio conflict check system and update information from students.
- Manage court e-filing accounts.
Project management, Committees, Conferences and Miscellaneous: 10% - Attending monthly Clinic Faculty meetings and participating on clinic committees.
- Participate in our Law School’s Leads group.
- Attend conferences as needed to improve skills, such as the National AALS Clinical Section conference.
- Participate and attend meetings for Law Firm Administrators, where we are kept up to date on the State of Minnesota’s current E- Filing procedures.
Salary range: $47,000 - $60,000 annually This is a full-time 100%, 12 month appointment with benefits. |
