The Administrative Secretary position is responsible for the preparations of autopsy case reports, letters, logs, requests and other documents or any administrative duties needed for the Forensic Center.
DUTIES AND RESPONSIBILITIES:
Schedules court appearances and pretrial for Pathologists.
Prepares court packets for the Pathologists and the District Attorneys.
Maintains the Pathologists' calendars.
Assist with reconciling the ledger, procurement card, and telephone bills.
Performs annual inventory review.
Enters business transactions ie.. cash deposits, contracts, requisitions, NCJ's and other business transactions.
Performs secretarial duties for physicians and administrative staff.
Maintains office supplies/distribution of supplies.
Provides verification of death letters to District Attorneys and law enforcement agencies.
Releases photographs and microscopic sides.
Prepares photo discs for court packets and law enforcement agencies.
Receives and process subpoenas that are served.
Prints copies of photos as needed for court packets.
High School Diploma; two (2) years' administrative work experience; OR Associate's Degree; six (6) months administrative work experience. Experience in general office practices and procedures including filing, recordkeeping, and use of fax, copier, PC Microsoft Word & Excel is required. Ability to communicate effectively orally and in writing is required; Must have good customer service skills. Previous experience with policies and procedures associated with medical record documentation is preferred.
An official transcript or documentation to verify education must be submitted in a sealed envelope to the Human Resources Department prior to first day of employment if selected for a position.
