Reporting to the Associate Director for Columbia University Medical Center (CUMC) Leasing and Acquisitions, the Transactions Associate is responsible for supporting the strategic management and day-to-day administration of the CUMC portfolio including, but not limited to, project management, research, analytic support such as preparation of development preformats and financial analysis, design and preparation of reports, presentations, agendas and meeting minutes, managing brokers, attorneys and other consultants, and attending to important file management responsibilities. The incumbent is responsible for ensuring that CUMC property and lease files are accurately maintained and kept up-to-date. The incumbent will also help coordinate and provide back up support for various lease auditing activities.
The Transactions Associate liaises with and advises current and prospective CUMC clients, including Faculty, Administrators, Capital Project staff and Facilities personnel, responding to client inquiries and concerns in a timely, accurate and courteous manner. S/he interacts with Landlords, building agents, brokers and other consultants to address tenant billing issues and other administrative and/or technical matters.
In connection with the Bio-Research Incubator (BRI) located at the medical center, the Transactions Associate will develop and administer the New York City compliance reporting requirements in accordance with lease guidelines and University policies. S/he will help monitor and enforce BRI leasing criteria and graduation policies, conduct on-going tenant evaluations, track tenant development and prepare periodic progress reports. S/he may also support the BRI Property Manager to coordinate with market experts, business consultants and service providers to provide on-site programming for BRI tenants including, but not limited to, pro bono business support services, fundraising assistance, seminars, mentoring and networking opportunities with market experts in the biotech industry, VC and academia.
The incumbent may also work on select special projects and high level transactions with the Vice President for Real Estate, Real Estate Directors and other senior level personnel at the University.
General Minimum Qualifications: Bachelor's degree and a minimum of 4-6 years of related experience required.
Additional Specific Minimum Qualifications: 4-6 years' direct experience with project management and real estate transactions required. Experience in the healthcare sector will be viewed favorably. Familiarity with common lease provisions and accounting concepts; ability to review real estate contracts and summarize critical provisions and obligations. Prior experience in a not for profit, or similarly complex organizations a plus.
The ideal candidate must have a passion for excellent customer service and commitment to exceptional quality. The candidate must have outstanding organizational skills and be extremely detail-oriented in a high-volume environment. Ability to juggle multiple tasks, adhere to project deadlines, perform duties with poise under pressure, interact professionally with difficult clients, exercise sound judgment and manage time effectively.
Strong technical skills required, including overall proficiency with Microsoft Office programs, especially advanced knowledge of Excel and PowerPoint. Excellent analytical and modeling skills. Experience working with data generated from disparate systems helpful. The successful candidate must be a strategic thinker, with an open and collaborative style that encourages teamwork and cooperation. The candidate must operate using discretion and maintain confidentiality. Excellent oral and written communication skills a must.
Preferred Qualifications: Advanced degree desirable. Working knowledge of real estate development and/or construction project management preferred
